🪜 Step-by-Step Setup

1. Build your search in Sales Navigator

  1. Open Sales Navigator → Lead Filters.
  2. Apply these filters to narrow your audience (make it applicable to your ICP):
    • Seniority: Owner, CXO, VP, Head
    • Job change in past 90 days → indicates openness to new vendors
    • Company headcount: 11–200 → usually fast-growing and hiring
    • Posted on LinkedIn in past 30 days → active decision-makers
    • Title: decision maker titles specific to your offer → for smaller companies, owner/founder
    • Exclude 1st-degree connections to avoid overlap
    • Keywords: use boolean search to niche down your targeting
  3. Sort by “Posted recently” for the most active users.
  4. Click “Save search” (optional) and name it clearly - for example:

    Outbound_Marketing/Advertising_JobChange_US/CA_Posted_90D

2. Scrape the profiles

  1. Copy the entire Sales Navigator search URL from the browser.
  2. Go to Airscale (or Apify) → select Scrape Sales Navigator Search Results.
  3. Paste the URL, paste your LinkedIn cookie with the Cookie Editor Chrome Extension, and click Run.
  4. When it’s done, download the CSV output.
  5. The CSV should include:
    • Full name
    • Job title
    • Company name
    • LinkedIn profile URL
    • Company LinkedIn URL or domain (optional)

3. Get the email with Icypeas

  1. In Icypeas.com, log in, then click on “Bulks”
  2. Click on “Email Finder”
  3. Upload your CSV into Icypeas.
  4. Make sure you have at least these two columns in the csv you got from Airscale or Apify:
    • LinkedIn profile URL
    • Lead Full Name
    • Company Domain
  5. Let Icypeas run - it will return with the enriched list.

4. Verify the emails

Before importing your list, run it through a verifier (Reoon, MillionVerifier, or NeverBounce).

Steps for Reoon:

  1. Click on “Email Verification”
  2. Upload your Icypeas output CSV.
  3. Remove anything marked as:
    • Invalid
    • Unknown
    • Catch-all
  4. Download the “Safe + Role only” list.

5. Push to your sequencer

  1. Import the verified list into your sending platform (Smartlead, Instantly, or Lemlist).
  2. Name your campaign based on your search (same as the initial csv name):

    Outbound_Marketing/Advertising_JobChange_US/CA_Posted_90D

  3. Map your CSV fields:
    • First Name
    • Company
    • Email
    • LinkedIn URL (optional)
    • Website (optional)
  4. Set your sending schedule:
    • Max 10-15 emails/day per inbox

  5. Write messaging that reflects your targeting signal. Examples:

1. Define your ICP in Apollo

  1. Go to People Search inside Apollo.
  2. Layer the filters to match your exact audience:
    • Job Titles (example): Head of RevOps, VP of Demand Gen, Operations Manager
    • Seniority: VP+, Owner, CXO
    • Technologies Used: HubSpot, Salesforce, Facebook Pixel, etc (whatever is relevant to your offer and company).
    • Job Post Keywords: e.g. “Automation,” “Workflow,” “Compliance”
    • Funding Rounds: Recently funded, or Series A–C
    • Employee Headcount: 11–200 (mid-market, fast-scaling)
    • Department Size: Marketing or Sales team size ≥ 5
    • Revenue: Min 1M, max 50M
    • Email Status: Verified only
  3. Hit Apply Filters and review a few profiles to ensure alignment.

2. Save you search

  1. Click “Save Search” at the top right.
  2. Name it clearly, e.g. Outbound_VP_RevOps_11-200E_Hiring.
  3. Enable auto-refresh so your list updates weekly as new leads enter Apollo’s dataset.

3. Export and verify your data

  1. Export your Apollo list via ExportApollo.com or Boomerang (exporting directly from Apollo as a csv will make you go broke if you’re working with bulk lists).
  2. Upload your file to a verifier such as Reoon or MillionVerifier.
  3. Remove all:
    • Invalid emails
    • Catch-all domains
    • Unknowns
  4. Export only “Safe+Role” for your sequencer.

4. Enrich and deduplicate (optional but smart)

If you use Clay, import your Apollo CSV and:

  1. Run a deduplication check to remove duplicates from prior campaigns.
  2. Enrich missing fields (e.g., company size, LinkedIn URL, or tech stack).
  3. Add an “ICP tag” column (like VP_RevOps_Apollo_2025) for tracking later.

This helps prevent overlap between sequences and improves personalization options in your copy.


5. Push to your sequencer

  1. Import the cleaned CSV into your sending platform (Smartlead, Instantly, or Lemlist).
  2. Map fields properly:
    • First Name
    • Company
    • Email
    • Job Title
    • LinkedIn URL (if available)
  3. Set send limits per inbox:
    • 10-15/day/inbox max
    • Randomize send times between 8 AM -5 PM local time (working hours)
  4. Add copy references to match your targeting logic. Examples:
    • “Saw your team’s been scaling after the latest funding round… Usually when this happens [pain point] → [your solution]”
    • “Looks like you’re using HubSpot - we’ve helped teams like yours double reply rates without changing CRMs.”
